From Brief to Event Day

Everything starts with a conversation. Tell us what you’re trying to achieve — visually, practically, and creatively. Share your venue plans, event schedule, and any reference images. The more context we have, the better the solution we can design.

Based on your brief, we design the configuration — wall size, shape, pixel pitch, rigging structure, and content management setup. For complex builds, this involves technical drawings that need sign-off before anything is ordered.

A site visit follows for most custom builds. We need to see the venue, assess rigging points, check power supply, and understand load-in logistics. Additionally, this is where we catch anything that isn’t obvious from venue plans alone — and there’s almost always something.

Our crew then builds the custom structure, fits the LED panels, and tests everything before anyone else enters the venue. On event day a dedicated technician manages the display throughout.

How far in advance do I need to plan a custom video wall? Four weeks for straightforward configurations. Six to eight weeks for complex multi-element builds. The earlier you get in touch, the better the result — custom builds reward proper planning time more than almost anything else we do.

Can you work from a creative director’s brief? Yes — and in fact this is often the most efficient approach. If you have a production designer or creative director involved, bring us into the conversation early. Working from a detailed brief from the start produces a significantly better result than trying to reverse-engineer a design late in the process.

Do custom video walls cost significantly more than standard rentals? Not necessarily. Some configurations — an oversized flat wall for example — cost only marginally more than a standard rental of similar size. Others involving complex rigging structures do involve additional cost. We’ll always give you a transparent breakdown so you can see exactly what you’re paying for.

Can you handle custom builds for outdoor events? Yes. Outdoor builds have additional considerations — weatherproofing, higher brightness requirements, more complex power planning — but they’re well within what we deliver. Tell us it’s outdoors from the start and we’ll spec accordingly.
